How to limit access to TrueConf Room in the meeting room

What is the difference between PIN code and password?

After you have set the password for TrueConf Room, you will have to enter it every time you sign in.

PIN code is created automatically and you won’t have to enter it manually every time you sign in to TrueConf Room. To enter TrueConf Room, you just need to copy the secure authentication link with embedded PIN code.

With PIN code, you can provide access to TrueConf Room only to those who are currently present in the meeting room. That is why we advise you to regularly update PIN code so that people who previously entered the meeting room could not take control over the software.

How to enable secure authentication

Step 1. Register TrueConf Room on TrueConf Server

Create a TrueConf Room account on TrueConf Server by following our guide.

Step 2. Authorization

  1. Follow the link on the TrueConf Room start screen to access the control panel.
  2. Press Change Server in the bottom right corner of the screen.
  3. Do the following actions on the network settings page:
    •  switch to TrueConf Server;
    • enter IP or domain address of the TrueConf Server instance where you have registered your TrueConf Room account.
  4. Go back to the authorization page.
  5. Enter TrueConf ID and Password for your TrueConf Room account on TrueConf Server.

Step 3. Protected authentication settings

For administrators

  1. Press the gear button in the upper left corner of the screen to access TrueConf Room settings.
  2. Open Security tab.
  3. Choose Enter using password in the Administrator access field. Set your password and save changes.

Afterwards you will enter the password every time you sign in to the TrueConf Room control panel.

For ordinary users

Protected authentication settings for ordinary users are available only in TrueConf Room. Please contact us if you need to activate it.
  1. Go to the User access section.
  2. Choose Enter using PIN in the User access field and save settings.
  3. Next, you will see PIN code and a link. If necessary, you can share the link among users.
The PIN code will also be embedded into the access link available on the main screen.

  2. Choose User Mode.

Now ordinary users can access the meeting room. They will be able to use all the features of the software, but not to change network, security and start screen settings.

What to do if you forgot your password

If you enable admin access to the TrueConf Room control panel by setting a password or PIN code, please make sure to save or remember your password or PIN. The application does not provide any options to restore access for the administrator if you lose your security credentials. If you did, you can delete the TrueConf Room folder on PC (C:\Users\<user>\AppData\Local\TrueConf\Terminal by default, where <user> is the OS user on behalf of whom TrueConf Room was installed) to reset the settings.

To easily open the AppData\Local folder of the current OS user, proceed to %LocalAppData% in the file explorer.

After deleting the folder, the security settings will be cleared and you can reset them following the same instructions. To log in to the control panel for the first time, we recommend using Google Chrome.

Please note that all other application settings will also be reset to their default values.

If this does not help, please reinstall TrueConf Room.
