Screen sharing is the process of transmitting the image from your screen to other participants during an online meeting or video call in real time. It allows you to visually demonstrate documents, presentations, software interfaces, web pages, and other materials, making communication more productive and easier to understand.
In TrueConf, screen sharing is implemented with a strong focus on business requirements for security, speed, and convenience. Key benefits include:
• Secure data transmission — Screen sharing in TrueConf uses encrypted communication channels, with the option to fully localize the server within the corporate network without Internet access.
• Access control — The meeting host can manage who is allowed to share their screen and who can control it remotely — crucial for confidential meetings.
• High-quality streaming — Even on low-bandwidth connections, the system automatically optimizes quality to ensure smooth and stable streaming.
• Integration with conferences and webinars — Screen sharing can be part of multi-user meetings, training sessions, or remote technical support.
During a conference, you can share the contents of your desktop or specific application windows with participants.
• To start sharing content during a video call or group conference, select your screen or application in the control panel.
• A content control window will appear in the top-right corner of your screen, staying on top of all windows throughout the session.
• To stop sharing, click the red icon in the bottom-right corner of the screen.
• Clarity and faster understanding — Participants can instantly see the process or product in action without lengthy explanations.
• Time-saving — Helps quickly deliver information, make decisions, or solve problems.
• Reduced miscommunication — The visual format lowers the chance of errors or misunderstandings.
• Increased trust — Especially useful in sales and training, where you can show the actual product or process.
Case 1: Selling a SaaS product
A sales manager uses screen sharing to demonstrate a CRM system to a potential client. During the online meeting, they show in real time how to create a customer profile, set up a sales funnel, and generate a report. The client gains a clear understanding of the product, speeding up the purchase decision.
Case 2: Onboarding new employees
An HR specialist conducts an introductory online session for new hires at a regional office. Using screen sharing, they demonstrate how to use the internal portal, fill out timesheets, and submit business travel requests. New employees adapt to corporate processes faster without needing in-person training.
Case 3: B2B technical support
A client reports an issue with a cloud platform. The support engineer shares their screen to show how to properly configure data filtering. Simultaneously, they ask the client to share their own screen to analyze the issue. This helps resolve the problem quickly without lengthy email exchanges.
Case 4: Collaborative work in a marketing team
During an online meeting, a marketing specialist opens a presentation for a new campaign and shares their screen. The team discusses slide layouts, adjusts headlines and banner colors in real time. The final version is approved in one session without multiple file exchanges.
Case 5: Financial analysis in a board meeting
A CFO shares a screen with an Excel spreadsheet and charts, explaining the dynamics of expenses and revenue by quarter. Using filters and formulas live, they answer colleagues' questions and suggest cost optimization strategies. The visual context helps decision-makers quickly grasp the situation.
Before sharing your screen, close unnecessary windows and tabs — especially messengers, email, and documents containing sensitive data. Disable notifications to avoid accidental pop-ups. It’s safer to use a dedicated desktop or browser window with only the content you need. Share a specific window instead of the entire screen. Be cautious with browser tab names — they are visible to participants. Avoid typing passwords or personal data during screen sharing; pause the stream if needed. Hide your bookmarks bar and check your desktop background for private files. In presentations, enable dedicated presentation modes. If you frequently use screen sharing, consider setting up a separate profile or environment free of confidential information.
Click the icon showing a monitor with a gear, and in the menu, select "Show my video and content in separate windows" to stream your content as a separate feed for conference participants. This feature allows your desktop content to be displayed even on third-party video conferencing terminals.
During a meeting, multiple participants can share their screens or specific application windows. In such cases, users can conveniently switch between screens or move video windows to an additional monitor.
